Recording Secretary

 

  • Records minutes at regular and special meetings of the Board of Directors and acts as Parliamentarian

  • Maintains official records for the organization on organization’s Google drive

  • Serves as a member of the Executive Committee along with the President, Vice President, and Treasurer.

  • Serves on the Governance Committee

 

Knowledge and Skills

  • Know the bylaws of the organization

  • Familiarity with Robert’s Rules of Order

  • Ability to communicate via email and web conferencing apps such as Zoom.

  • Ability to learn to use Google products (Gmail, Google Drive, Gsuite)

 

Corresponding Secretary

 

  • Assembles content provided by other members and distributes monthly electronic newsletter

  • Sends out special announcements or correspondence as needed via email or USPS

 

Knowledge and Skills

Ability, or a willingness to learn, to

  • use electronic newsletter applications such as Constant Contact or Mailchimp

  • design and develop graphic elements for use in electronic communications

  • communicate via email and web conferencing apps such as Zoom

  • use Google products (Gmail, Google Drive, Gsuite)

  • create and post content to the VAS Facebook page

 

 

Webmaster

 

  • Oversees domain registration and renewals

  • DNS configuration

  • Provides guidance in choosing web hosting

  • Updates content for organization’s primary website

  • Works with Treasurer to integrate payment sites/ecommerce with website(s)

  • Works with Show Chair on electronic applications/submissions for art shows

  • Works with Demo & Workshop Chair on electronic registration/payment for events

  • Maintains updated list of login information for:

    • bvaltexas@gmail.com

    • Google for non-profits administrator account

    • Website administrator account

    • Social media accounts

    • Zoom account

  • Manages Google for Non-Profits which includes G Suite, Gmail, Docs, Drive, and other included apps.

    • Manage user accounts: creation,

  • Security aspects: transition to new members, password management
